Poland is Europe's premier tech hiring destination — world-class engineers, 30% below German salary levels, and high English proficiency. Rippling EOR handles ZUS contributions, PIT withholding, and Labor Code compliance from day one.
Poland has one of Central Europe's largest and most sophisticated professional talent markets, with Warsaw, Kraków, Wrocław, Gdańsk, and Poznań as major tech hubs. Poland has a deep pool of software engineers, IT specialists, game developers, and BPO professionals, and has become one of Europe's most important nearshore technology markets. The country's talent-to-cost ratio is highly competitive, making it attractive for Western European and North American companies.
Polish employment law (Kodeks Pracy — Labour Code) is protective but generally more predictable than Western European equivalents. Fixed-term contracts are limited to 3 in a 33-month period (after which indefinite contracts apply automatically). Termination requires notice and, in certain redundancy scenarios, severance. The PPK (Employee Capital Plans) mandatory auto-enrollment since 2019 is an important employer obligation.
Establishing a Polish Sp. z o.o. (spółka z ograniczoną odpowiedzialnością — LLC) requires KRS (National Court Register) registration, NIP (tax ID), and ZUS registration — typically 3–6 weeks. EOR is the right choice for 1–10 employees, initial market entry, or where PLN payroll complexity (PPK, ZUS, PIT) is a distraction from core business. Poland's relatively lower employer on-cost compared to Western Europe makes entity setup attractive at 10–15 employees for long-term commitments.

ZUS (Social Insurance Institution) employee contributions: Pension (emerytalna): 9.76% of gross salary; Disability (rentowa): 1.5%; Sickness (chorobowa): 2.45%. Total ZUS employee contribution: 13.71% (no ceiling for health insurance; pension/disability have contribution ceiling of 250% of national average monthly salary — approximately PLN 234,720 in 2024). Health insurance (NFZ): 9% of assessment base (after ZUS deductions). Income tax: withheld at 12% (up to PLN 120,000/year) or 32% above (progressive). PPK: employee contribution 2% of gross salary (default; can be reduced to 0.5% or increased to up to 4%).
ZUS employer contributions: Pension (emerytalna): 9.76%; Disability (rentowa): 6.5%; Accident (wypadkowa): 1.67% (variable by sector — from 0.67–3.33%); Labour Fund (FP): 2.45%; Employee Guaranteed Benefits Fund (FGSP): 0.10%. Total ZUS employer contribution: approximately 20.5% of gross salary. PPK employer contribution: 1.5% of gross salary (mandatory; can be increased to up to 4%). Total employer on-cost: approximately 22–23% of gross salary.
Polish income tax (podatek dochodowy od osób fizycznych — PIT): 12% on income up to PLN 120,000/year; 32% above PLN 120,000/year. Tax-free amount (kwota wolna od podatku): PLN 30,000/year (first PLN 30,000 untaxed — significantly reducing the effective rate for mid-range salaries). Health insurance (składka zdrowotna): 9% of assessment base — not deductible from tax since 2022 (Polish Deal reform). Rippling EOR manages PIT withholding and ZUS/NFZ monthly declarations.
Annual leave: 20 days (less than 10 years of employment experience); 26 days (10+ years — all prior employment and education counts). Public holidays: 13 days. Sick leave: employer pays 80% of salary for first 33 days of illness per year (14 days for employees aged 50+); from day 34 (15), ZUS pays sickness benefit at 80% (100% for certain conditions). Maternity leave: 20 weeks (26 for multiples) — ZUS-paid at 100% of salary. Parental leave: up to 41 weeks (43 for multiples) per parent (from 2024 reform: at least 9 weeks reserved for each parent). Paternity leave: 2 weeks. Public holidays: 13 national days.
Indefinite contracts: notice periods of 2 weeks (under 6 months), 1 month (6 months–3 years), 3 months (3+ years). Redundancy severance: 1 month's salary (under 2 years), 2 months (2–8 years), 3 months (8+ years) — payable when termination is due to reasons not attributable to the employee. The employer must provide written reason for termination of indefinite contracts (not required for fixed-term). Employee can appeal to labour court (Sąd Pracy) for reinstatement or compensation. Works council consultation required for collective redundancies.
EU/EEA nationals: free right to work; registration at local authorities recommended for stays over 3 months. Non-EU nationals: work permit (zezwolenie na pracę) required — types A (standard), B (board members), C–E (specific situations). Ukrainian citizens: special temporary protection status (since 2022) grants right to work without a permit — significant for companies hiring Ukrainian talent in Poland. Rippling EOR can support work permit applications through its Polish entity. Processing: 2–6 months for standard permits.
Statutory benefits: minimum 20 days paid annual leave (26 days after 10 years of employment), 13 public holidays, ZUS social insurance (pension, disability, sickness, accident), and Pracownicze Plany Kapitałowe (PPK — Employee Capital Plans — mandatory employer contribution of 1.5% of gross salary into an employee investment account).
Market standard: 20–26 days leave, private health insurance (LuxMed, Medicover — near-universal for professional employees, especially in Warsaw tech sector), sports card (Multisport — common), meal subsidies, and annual bonus. Private health insurance is a key retention differentiator. Rippling EOR manages ZUS enrollment and PPK contributions.
Rippling EOR Poland operates through a local Sp. z o.o. entity. Key configuration: ZUS registration with all contribution types; PPK institution selection and enrollment; PIT withholding regime (including the PLN 30,000 tax-free threshold application); and umowa o pracę contract drafting in Polish. Typical onboarding: 2–3 weeks. Private health insurance (LuxMed or Medicover) setup is expected by Polish professional employees — configure as a benefit package from day one.
PPK (Pracownicze Plany Kapitałowe — Employee Capital Plans) is Poland's mandatory workplace savings scheme, phased in from 2019–2021. All employees aged 18–54 are automatically enrolled (employees 55+ can opt in voluntarily). Employer contributes minimum 1.5% of gross salary; employee contributes minimum 2% (reducible to 0.5% for lower earners). The state adds PLN 250 welcome payment + PLN 240 annual bonus. Employees can opt out. Rippling EOR manages PPK enrollment, contribution calculation, and transfers to the selected PPK institution.
Polish labour law distinguishes between: contract of employment (umowa o pracę — full employment with all Labour Code protections and ZUS contributions) and civil law contracts (umowa zlecenie — mandate contract; umowa o dzieło — specific task contract). Civil law contracts are cheaper for the engaging party but carry misclassification risk if the arrangement has employment characteristics. Since 2017, the Labour Inspectorate actively reclassifies civil law contracts as employment contracts where employment indicators are present. EOR uses umowa o pracę for all engagements.
Poland's National Minimum Wage (minimalne wynagrodzenie za pracę) is PLN 4,300/month gross from January 2024, rising to PLN 4,666/month from July 2024. The minimum hourly rate is PLN 28.10/hour from July 2024. Poland has had significant minimum wage increases in recent years, with further increases expected. All Rippling EOR employees are paid at or above the applicable minimum wage.
Termination of an indefinite employment contract in Poland requires written notice (pisemne wypowiedzenie). Notice periods: 2 weeks (employed under 6 months); 1 month (6 months–3 years); 3 months (3+ years). For collective redundancies (5–100+ employees depending on company size), consultation with trade unions is required and severance pay of 1–3 months' salary must be paid. Individual redundancy (likwidacja stanowiska) also requires severance of 1–3 months' salary based on tenure. Rippling EOR manages the termination process including notice calculation and severance.
